Recruitment depends on trust. This policy explains how CareMint Recruitment handles personal information about candidates, temporary workers, contractors, referees, client contacts, suppliers and website visitors.

It should be read alongside any more specific privacy information provided during a recruitment process or temporary assignment.

Who is responsible for your information?

CareMint Recruitment is the controller of personal information described in this policy unless we expressly explain otherwise. We are registered in England and Wales under company registration number 14283346.

Information we may collect

The information we process depends on your relationship with us and may include:

  • identity and contact details;
  • CVs, employment history, education, skills, preferences and availability;
  • right-to-work evidence, professional registrations, qualifications, licences and training;
  • interview notes, assessment information and communications with us;
  • references and referee contact details;
  • assignment, timesheet, pay, tax, pension and bank information where relevant to temporary work;
  • client contact details, job requirements and commercial correspondence;
  • website technical information such as IP address, browser type and security logs;
  • information required to investigate a concern, exercise a right or meet a legal obligation.

Recruitment may sometimes involve special category information, such as health, disability, diversity or trade union information, and information about criminal convictions where a role lawfully requires appropriate vetting. We process this only where a valid legal condition applies and with suitable safeguards.

Where information comes from

We may receive information directly from you, from job boards and professional networking platforms, through applications and referrals, from former employers and referees, from clients, from publicly available professional sources, and from screening or compliance providers.

If another person gives us your information, we provide privacy information within the period required by data protection law, unless an exception applies.

How and why we use information

We use personal information to:

  • register, communicate with and support candidates and workers;
  • assess suitability and match people with relevant opportunities;
  • present candidates to clients with appropriate engagement;
  • verify information, conduct permitted checks and support safeguarding;
  • manage offers, placements, assignments, timesheets and payments;
  • provide recruitment services and manage client relationships;
  • maintain records, prevent fraud, secure our systems and resolve complaints;
  • meet employment, tax, regulatory and other legal obligations;
  • improve our services and send relevant opportunities or business communications where permitted.

Our legal bases may include taking steps at your request before a contract, performing a contract, complying with legal obligations, pursuing legitimate interests in operating a responsible recruitment business, and consent where consent is appropriate. For special category or criminal-offence information, we also identify an additional condition required by law.

Recruitment communications

We may contact candidates about genuinely relevant opportunities based on our recruitment relationship and legitimate interests. You can ask us to stop marketing-style communications at any time. Service, compliance and live-process messages may still be necessary.

Who we may share information with

Depending on the purpose, we may share information with prospective or current hirers, payroll and pension providers, umbrella companies selected for an assignment, screening and background-check providers, professional advisers, IT and communications suppliers, auditors, insurers, public authorities and regulators.

We share only what is reasonably necessary and use contractual, confidentiality and security measures where appropriate. Candidate information is not sold.

International transfers

Some technology or service providers may process information outside the United Kingdom. Where this happens, we use a lawful transfer mechanism and appropriate safeguards, such as adequacy regulations or approved contractual protections, unless a legal exception applies.

How long we keep information

We keep information only for as long as reasonably necessary for the purpose collected, including recruitment, assignment administration, legal, tax, safeguarding, dispute and regulatory requirements.

Retention periods vary according to the record, the sector, whether a placement or assignment occurred, legal limitation periods and any continuing relationship. We periodically review candidate records and may contact you to confirm that information remains accurate and that you wish to continue hearing from us. Information that is no longer required is deleted, anonymised or securely destroyed.

Security

We use organisational and technical measures designed to protect information against loss, misuse, unauthorised access, alteration and disclosure. Access is limited according to business need. No internet service is completely risk-free, but we review safeguards and respond to suspected incidents appropriately.

Your data protection rights

Depending on the circumstances, you may have rights to:

  • be informed about processing and obtain access to your information;
  • correct incomplete or inaccurate information;
  • request deletion or restriction;
  • object to processing based on legitimate interests or to direct marketing;
  • receive certain information in a portable format;
  • withdraw consent where processing relies on consent;
  • ask for safeguards relating to qualifying automated decisions.

These rights are not absolute. We may need to verify your identity and may retain information where lawfully required. Contact info@caremint.co.uk to exercise a right. You may also complain to the Information Commissioner’s Office at ico.org.uk, although we welcome the opportunity to address concerns first.

This website may use strictly necessary technical storage required for security and functionality. We do not currently use non-essential advertising or analytics cookies. If that changes, we will update this policy and introduce any consent controls required by law.
